Plan the data move before you export anything
A migration starts with decisions about records, ownership and validation.
Inventory the records
List the record types and systems involved without sending their contents. Establish which information belongs in the new workflow and which should remain in its current system.
Define ownership and access
Agree who can authorise a transfer, who performs it and who can view the resulting records. Include client and staff access boundaries in the migration plan.
Map and validate
Map fields, identifiers, dates, currency and status values. Plan how duplicates and missing information will be handled. Use a small reviewed sample in a separate environment before a wider import.
Reconcile before switching
Agree record counts and business checks that demonstrate the import worked. Test relationships between records, not just whether rows arrived. Keep a rollback point and an operating plan for the changeover.
Agree the handoff
Document backups, access, retention, exports and the support contact. Keep live credentials and data transfers out of a general website enquiry.
