When a specialist CRM is worth considering
Start with the work that a standard tool struggles to support.
Describe the handoff
Write down what happens before and after the task that is causing friction. Who owns the record? Who approves the next step? What information is repeatedly copied? A specific handoff is a more useful brief than a long wish list.
Compare against a standard product
A standard CRM or time tracker may already solve the problem at a lower implementation cost. A tailored solution makes more sense when the relationship between steps, roles and records is distinctive and important to the business.
Check the complete commitment
Ask about setup, adaptation, provider accounts, staff access, migration and ongoing support. Compare the complete proposed workflow and responsibilities, rather than a headline price.
Request meaningful evidence
Ask to see the relevant process, an exception and the user boundary. Establish which screens are working software, which are concepts and which integrations have been tested for the proposed edition.
Agree what good looks like
Choose a small set of acceptance measures: a complete handoff, a correctly restricted client view or a reconciled billing step. Establish a baseline before treating any improvement as a result.
